Job Description

Reviews financial information with patients, both verbally and in writing. Assists patients with contacting insurance companies or the practice’s patient account representatives when questions arise concerning insurance coverage or payment for services. When applicable, collects patient balances due and sets up budget plans on accounts. Identifies accounts to be placed with outside agencies for further collection action. Acts as the primary liaison between the practice, its contracted collection agents, and contracted billing company.

Required Knowledge, Skills and Abilities


  • Persuasive negotiating skills, basic math reasoning, and an ability to assess available information to quickly propose financial solutions and resolve payment issues for customers.
  • Understand basic medical coding principles and medical insurance claim processing.
  • Ability to communicate courteously, pleasantly, and effectively with patients, physicians and related office staff via telephone or in-person and possess good written communication skills.
  • Ability to take direction and then establish priorities to meet deadlines.
  • Possess a mature approach to work and the ability to establish and maintain effective working relationships on many levels.
  • Must be able to handle and utilize various types of office equipment.


Essential functions

  • Reviews patient accounts within a computerized work queue or daily reports, determines the debt’s validity, and selects an appropriate communication method to collect the debt
  • Answers incoming calls and emails and discusses past due balances with patients in order to come to a mutually agreeable payment arrangement.
  • Provides patients with appropriate documentation that validates the debts owed to the practice
  • Obtains financial and hardship information from patients and offers appropriate settlements in accordance with the established guidelines.
  • Thoroughly documents in the patient accounting system all conversations and agreements with customers regarding their debts.
  • Enters credit card payments into the practice’s point of sale system
  • Posts missed insurance adjustments and settlement adjustments to patient’s accounts and ensures the balance due is correct.
  • Communicates with collection agencies concerning all active placements
  • Prepares a daily report of past due balances which are to be collected when patients arrive for upcoming appointments.
  • Notifies outside billing company of payment plans made at time of service for current and past due balances
  • Displays a positive public image when dealing with patients, referral sources, payers, and fellow employees.


Additional requirements


  • Assists other PSRs during special projects as directed by the Manager of Revenue Cycle or Director of Revenue Cycle.
  • Assists in cross-training of other employees as directed.
  • Maintains HHS, CMS, and HIPPA compliance.
  • Attends departmental meetings and training courses.
  • Other duties as assigned.


Job Requirements

  • High school graduate; medical office training or college coursework in healthcare administration preferred
  • Two to three years' experience in medical billing and collections preferred
  • Experience or knowledge of diagnostic radiology preferred
